Sharing Documents, Designs, and Projects

Learn about different options you have to share documents, designs, and projects with different people.

Blaze allows you to share documents and designs with members of your Workspace, individual Guests, or publicly (with or without password protections).

By default documents, designs, and projects are private until you grant access.

In this article we will cover the process of sharing documents, designer, and projects.

Sharing Documents

  1. Open your document in Blaze Documents.

  2. Click​ Share in the top right corner of your document or project.

  3. Click Edit Access and type in user name, a group, or email and select their level of access:
    Edit: Users can make direct edits to the document as well as share the document with others.
    Comment: Users can add comments to the document.
    Read-Only: Users can read the document.​

  4. You can optionally write a custom message that will be sent to your collaborators with the access notification.

Inviting Guests

You can collaborate with people outside of your organization in Blaze by using the process outlined above to share access to individual documents outside of your workspace via their email address.

Once you advance the screen you will be able to select if you want to invite them as an External Guest or as Part of your team.

External Guests are free

Part of your team counts as a seat in your workspace. These members will also have access to your workspace.

The guest(s) you invite to the doc or workspace will receive an email notifying them of your invitation.

Do not to accidentally invite a guest, such as a vendor or contractor, to your workspace as Part of your team. You may incur cost and they may gain access to more than what you shared.

Inherited access

Users can access documents or files created within projects they have access to with Inherited access.

When a user has inherited access to a file or folder, you will see a notification in the Share view. To adjust this access, remove the user's access to the parent folder and include them only on the specific files you would like them to have access to.

Sharing by Link

Link Sharing allows you to give access to your document via a URL. Click Copy Link to copy the link to your clipboard. Paste wherever you need to share access to your document.

Share for Review

Formal review's are limited to blaze documents only. Formal reviews build on sharing as they have due dates and review statuses attached. Read through the Share for Review process to learn more.

Sharing Designs

  1. Open your design in Blaze Designer.

  2. Click​ Share in the top right corner of your design.

  3. Click Edit Access and type in user name, a group, or email and select their level of access:
    Edit: Users can make direct edits to the document as well as share the document with others.
    Read: User can see and open the document.

  4. You can optionally write a custom message that will be sent to your collaborators with the access notification.

Sharing Projects

To share a project with someone so they can see all of the content inside of the project simply do the following:

  1. Locate the project from the side bar that you wish to share. Click the ellipsis.

  2. Click​ Share from the pop-up menu

  3. Select the status you wish to share (External guests are free - Part of your team counts as a seat on your plan and have extended access)

  4. Enter the e-mail or select the users of those you wish to share your project with.

  5. Choose the desired permission you with to grant.

Sharing by Link

You can also share projects by link.

  1. Simply enable the Public - share to web button.

  2. Choose the permission

  3. Enter a password (optional)

  4. Copy and paste link as needed.
